hello welcome to the channel where we talk about tools and resources for running a business in notion and today I'm actually going to be giving a tour of my own notion workspace which I used

to run Landmark labs for some contacts Landmark Labs is a notion resources website we have about 7 000 members we have 25 or so thousand monthly website

visitors 10 products a course tutorials templates I run some Services here and there so just to give an idea of the type of business workspace that you can run in notion and if you're someone who

is running a business by yourself and you like to experiment with a few different offerings then hopefully you'll find this useful hopefully you'll get some ideas that you can steal for your own notion setup and if you do

actually just want to start from this template this system is called Landmark OS and it's available on our website for purchase let's get into the tour so I think it's probably most helpful if

I just go through what a normal day looks like when I check in to this OS set up where I spend most of my time typically and how it's kind of structured and set up I might skip a

couple of pages that I have some company details and things like that but mostly I just want to kind of go through what are the sections that I'm using most and uh how I how I move around in this

workspace so this is Landmark OS the the main dashboard gives you kind of a summary of ongoing projects uh gives a little

progress by indicating how many tasks have been completed within it and it's also broken down by areas of the business so these kind of actually match

onto this side menu which has uh the main areas of the business setup so Key activities is kind of like projects tasks and I have this uh today and this

week view uh I probably start there actually and then there are other areas of the business like marketing customer interactions Revenue model performance things like that which we'll get into

but typically I will probably log on I'll hit the home board home dashboard and I will take a look at the Timeline to

remind myself of the projects that are going on right now and then I'll probably head into this Key activities section and I'll go to my today view so this would probably be this will be

empty because there would be no view for today but I'm actually filming this later on in the evening and so a bit of the day's already passed and I can see my timeline for today I don't like to do

like specific um tasks by task I just kind of like to set some blocks for what's what's going on what are the main things I'm focused on but if I were to log in fresh what I

would do is create a new daily entry this is this is default template which is set to show today and the times it's actually at now is what the default

template shows and then there are some prompts for me I can give myself a reminder I can jot down any thoughts do any journaling and there are a couple more prompts for me to kind of stay

focused on the day I then have this daily view timeline which shows me my tasks that are

assigned to today so the target is today and the daily view I set to be today's daily View and the week because that lets me roll up my task and keep track

of how many tasks have been completed so as I mark off these tasks that I've set myself throughout the day you'll notice that the today uh daily view I don't know what else to call it that's when

I've just titled it uh kind of updates as I progress through the tasks for the day so again I don't want to be like super strict on myself about every single little hour or minute of the day

is blocked I just want to have a few key priorities that I'm focused on for the day I can mention them in kind of long form and then while I'm thinking about and planning the day I can put them down

somewhere on the timeline and adjust it for what actually happened so you notice this actually is also filtered to show the week which means if depending on how

familiar you are with notion databases and linked views and things like this because these filters are already set on this uh this template for the daily view

anything I add so if I add a new task here which is I don't know publish publish this video which I'm currently uh recording publish the video it's

automatically I don't know why I clicked out of that it's automatically going to be assigned today as the Target because I added it to today's timeline it's

going to get the pro the property daily view is going to be linked to this uh today property which I created earlier today and it's also going to be assigned to week eight now I probably need to

think of a better system for renaming the weeks but that's literally week eight of how long I've been using the system which is actually basically when Landmark OS was released so this has

been added to it you can actually see this little dependency update which has been added by a notion recently I haven't been using that but I probably

might start adding that so in your daily timeline your daily task timeline maybe actually let's do a quick example so filming this and then publishing it those two are

related so I might create a dependency locking blocked by and now I can see that this published video is waiting for

it's blocked by filming this video so that's probably a distraction but another neat little update from notion so this is my today

view I also have a notebook here if I just want to jot down any extra notes and I can tag it with areas of the business that I'm working on I like to think of these as actually their own

notebooks so I used to have a bunch of physical notebooks which were kind of dedicated to different areas of business now you can just use tags in notion so that's nice this is my today View and I

mentioned the week so there's also a weekly view this week's a bit boring because it's Monday but we could filter and we could take a look at last week

so if I filter to show last week's tasks also we get this view it's very simple it's just a list of the tasks on the day

that they were due and I can tick them off as I go through it then at the end of the week I actually get a percentage of tasks that are rolled up for the week

and that's kind of you know it's on the best indicator but it is an indicator of uh of how well I progressed through the week so I also typically I use the

weekly view more for planning so if I if I'm in my uh why did I do that week eight that's this week if I'm in my today view planning and I think of

something that I want to get done this week but it won't fit on today's timeline I'll head over to the weekly View and I might say okay you know on Wednesday I need to make sure I get this

other tasks done and it's all just very easy to just drop it on the timeline uh where I want it for this week to go so that's kind kind of where I do most of

my simple task planning and that's kind of where I try to start and kick off every day of the week just a final addition to this for any of the any recurring tasks that I have

actually tagged them as recurring tasks and then I had this little drop down toggle here so meditate that's kind of a common thing I'll just drag it onto the

timeline and put it in the uh the time slot where I want it it's a recurring task so it's not going to go away when I take it off it's just

going to stay there in my little drop down menu saves you a little bit of time for these repetitive tasks okay so that's kind of I also have an object objectives section where I can set goals

and a larger view of all the tasks going on but to be honest this is where I spend most of my time as in the today and this week and also the project thank

you so projects I have a gallery view is kind of the first view this is these are the things that are going on in the business again there are um

kind of progress bars keeping track of how uh tasks are progressing and I typically look at these uh through the timeline view to get a sense of where

um you can also kind of see where the energy of the business is going so I have this marketing tab it looks like there's a there's three marketing ongoing marketing efforts going on right now not much in the interactions

customer support kind of stuff not much in developing or introducing new Revenue models or streams or offerings product stuff there's a couple of products

um feature that I'm working on thinking about some operational efficiency stuff happens later and then investing in learning and things like that is also ongoing so I like these tags because it

gets gives me a sense of where is the energy focused in the business and once a project expires so let's say this recipes Playbook I can also actually

just mark it off the timeline and it will clear some space for me final View and projects that I have is just this prioritized table I haven't been using it for these most recent ones since I

have it pretty clear view of it but let's say that this notion Basics course it's an idea for a project that I might want to develop uh kind of not just business oriented but actually you know

notion fundamentals so these these would be out of 10 ratings so the cost of producing this in terms of my time and attention and effort might be a six I already have some tutorials so it could

kind of pull that together I think the impact would be quite High might give that an eight uh impact on the business in terms of like giving existing traffic something useful to to download and

start working with and become more familiar with uh with what we're offering and then the urgency for this is it is a subjective one I'm going to say it's not that urgent right now we

already have a course we just produced a Course and there are some other things in the business that I'd rather focus on so I give that urgency of four and you get this score of 14. when you rank them

should already be sorted I obviously haven't been using it that much right now but I can sort this by the score and we can do it descending so that the most

uh the highest kind of impact cost urgency tasks rise or projects rise to the top so that's the prioritizer timeline and project overview and typically I'll only use that when I want

to create a new project and I'll actually do that now because the project view is quite handy as well so these are not just uh blank items let's take a look at a

projects that I'm working on which is kind of moving the course content course content into content tutorial pieces and this is what happens when you click into

a project page you get another view with your menu in it so that you can keep your navigation this is a database page you can tell because we have the properties of the page so this is a

project it has tasks assigned to it it has a progress rating it has active dates assigned to it and we can also get a quick project overview of what's going

on we can see the progress here we can see any tasks that are related and that are on this weekly timeline so if I had a task assigned for this particular

project it would show up here and if I want to create a new project by default I will get that full page that's the default template so it's going to spawn

this page I can give an outline of the project I can filter this to be the correct progress name so that shows the right progress and I can filter this project timeline

to only show tasks that are related to this project we then can go into the marketing section so most of the day-to-day tasks and project stuff that'll happen in the

Key activities section but then I just have a few different marketing specific Channel areas so I have an area for SEO where most of what I'm doing is just

focusing on specific keyword research and linking that to specific content pieces which I either create in notion

or in another editor now that there's notion AI I've been using uh notion AI to help actually quickly draft content

pieces so for example if we had this uh let's get a specific one um notion sort by priority I think we created one similar to this I might just

create a new content item directly in this content uh linked or related database hit new click into it and I

might just open this up into Center Peak and let's just give the AI a chance to come up with an outline uh help me write

tutorial article on how to sort by priority in notion so these uh these AI assist writers are

super helpful for things like helping your brainstorm helping you outline and kind of also expand and fill out text if you want to write kind of well-established things things that

don't need to be nuanced opinion things that are not you're not necessarily putting your own voice you're just trying to help provide detailed instructions so tutorial stuff I find

these AI writers are actually a really good use case for that so for example if I wanted to quickly get some help with an outline for an article on a specific keyword I can do

that all through this SEO page which is just it looks just like a keyword research database but it's linked to the content creation process and I can quickly publish that to the website from

there the only other thing to note here is maybe this little apple thing which is a simple formula telling me which is like low hanging fruit keywords so things with a specific volume and

difficulty threshold World they get this green apple if they're deemed to be low hanging fruit so that's the SEO I spent a lot of time in that since a lot of what we do with the website is very much

SEO driven and content driven so that's basically the main marketing channel uh there's some YouTube stuff that goes in but I haven't uh fleshed out a full

YouTube video creation workspace in here yet that's definitely in the plan I have an email Hub as well for planning out emails and campaigns Twitter when I was

doing more campaigns there's also a section to map out uh Twitter campaigns then I have a section thinking about and working on Brands there's another

section for assets but that's slightly unrelated and in the marketing section I also have this new campaign button so similar to the projects when I hit this new campaign it's going to generate this

template but this is just another view for us to map out any specific content campaigns that we're working on we can also list and create specific objectives if we

have targets that we're working towards and we can filter the uh the campaign by progress here as well so that's kind of the marketing section uh since my

business is very content driven uh that's what I'm focusing on if you're more sales oriented you might actually be more interested in the next section which is all about contacts and

interactions so I've actually kind of removed or taken out the contacts specific contact names and details just because I didn't think that was probably a good idea to share in this video since

those are real contacts and their information but this is where uh this purple section is all about kind of customer and contact interactions client

interactions so if you had if you wanted to introduce the client portals section this is where you would put it if you wanted to list any meetings this is where you would put it so we had this

meetings calendar you can click in and you can quickly generate uh so if you had an introductory call you can use this template there are a few other pretty made templates and then you can

link to contacts and any tasks that are related to this meeting directly from your calendar we also have segments so we have contacts and we have segments which are just ways of breaking up your

list if your contact list grows and you want to segment some pipelines and campaigns based on these segments you can do that here and we also have a user Journey which is something that I do use

so this is about mapping out the journey that I want customers or even just people who are consuming and using our templates and hopefully getting something out of it what are the key

endpoints what are the steps what's the journey that I would like them to be able to take easily so if they are someone who is trying to plan and run

their business in notion I want to make sure that that's the end point that I I'm trying to help them with I want to make sure that all the steps up to that endpoint are clear and easily and they

have a clear action that they can take so this is where you might start getting some ideas for features and products so let's say in the onboarding section I want to make sure people

can quickly gauge where are they at with notion itself find out what do we offer with Landmark Labs by way of templates and courses and things to help them get

to where they're going and it might spur me to have an idea about okay so first thing when you sign up you're gonna get an email maybe there's a project there

where I need to really develop and flesh out the uh the welcome email onboarding flow so maybe there's a kind of a seven day period where you get some free tutorials free templates get you

introduced into the ecosystem a bit more familiar with what we offer and that's actually something that I am working on now that's one of the projects and that came from thinking through the user

Journey planning and Imagining the key steps so where are people going to discover us what's the sign up process how do they get onboarded if they are

ready to purchase or upsell to a to a premium product then what what does that experience look like what can I be working on to make that easier and then afterwards you know referral and loyalty

stages of the user Journey how can I make it easier for people who really like what we're doing to share it with their friends or with their colleagues so user journey is something that is

quite that I spend a bit of time thinking about it's not something that's like day-to-day tasks are involved but it's kind of part of the brainstorming and ideation part of the business

it's another view to to get a table view of listening out uh the user stages and you can also list your endpoints as well so user Journey there's also a personas

where you can flesh out kind of uh key details about specific customer types personas demographics things like that

um proposals I won't go into Partnerships that's just another channel that I'm thinking of developing and there are some thoughts on that uh this professions list that was actually a

product we were working on and there's also this pipeline um feature in Landmark OS in this in this setup so you can quickly create new

pipelines based on a few different things so if you are doing a more cold Outreach or sales approach in your business or if you are a freelancer or consultant and it's much more about

client work and making sure your pipeline is filled with the right prospects and qualified leads then you can create these new pipelines quite quickly so I've just hit new pipeline

it's going to give me some instructions here if I want to check what exactly I need to do to set this up but main thing is just you have these

filters at the top and you can filter your list of contacts based on these specific segments based on the status or

maybe even choosing a range of when this contact or this lead was created so let's say December lead was added let's take a look at where they are in the

pipeline so for more sales oriented efforts you might want to be using this pipelines feature then we go into kind of the more uh

product Revenue performance side of things so revenue streams that's where you can list uh you know types of offerings so things like subscriptions products uh

services and then here in the offerings section we actually have I just keep a list of the products that are on offer any services or sponsorship packages and then I have a list of use cases and then

I can link them to both keywords and specific offerings so that helps me be a little bit more specific about which products and offerings are intended for

which uh which groups of people features I've been using this features list um so one of our products is kind of the pro access Library which is a massive

list of templates and so I've been using the features aspect of this workspace to list out specific template components that I want to use or I want to build

and they're grouped by category so these are kind of I guess product roadmap in a way these are things that I'm working on building and I have a clear idea of how to create

them I just need to get through this list uh we also have I also have an invoices section where I can quickly generate invoices when they're requested

um and uh have some information about the website and some login details and things like that then we get into the performance section so this is where

those daily entries that we were inputting we get a quick overview of all the daily entries that have been made there's the percentage of the progress percentage that was marked and there's

also the day rating so at the end of each day I can log into the daily entry and I can just give it a day rating from awful through to excellent simple

five-point scale and my plan is at the end of this year I'm going to do a little bit of a summary of you know where did it all kind of even out were

there any standout periods was there any kind of pattern to it and what was just my average daily rating that could be interesting information to have so same

thing for weekly performance you can see all weeks summarized here and then we get into things like Revenue expenses I have a data box set up which

is linked to the stripe dashboards and PayPal subscriptions and things like that so that's giving me a nice visual overview I might go into it because that's our company Revenue details

similar for web analytics there's a Google analytics dashboard showing current website performance and traffic and then if I want to create a new

monthly report so if I want to just get all of my revenue and expenses I can quickly I can just hit this uh new monthly report it's going to generate a template with

some items already in there for me and then I also have this drop down list of recurring revenue and recurring expense

items that I can just drag into the report it's been being a bit slow but you can get an idea we have these two tables for recurring for all expenses

and all revenue you can pull these specific recurring expense items into the table and this is the month that was just created so I could

go up and let's say that this was for December 2022 just get a quick nice monthly report for the revenue uh this month

so that kind of sums up the performance section there's also a space where I can list any checklists or repeat processes this is probably more useful if you work with multiple people uh for me it's just

me so I don't have that many checklists to remind myself of and then there's a notes and research section so the notes I mentioned you can kind of have these

tags for areas or what I like to call notebooks and you can actually create new notebooks so I have this new notebook

and new note block so that if I were on let's say I was on the SEO page I already have a notebook there but let's say I wanted to add another one I could

head into the notes create a new little note block and just jot down something which the reason this is useful is because then this way it's not just a

random page somewhere in my notion it's always going to be linked to this master notebook I just tag it with SEO it's going to show me my SEO entries and then

I have some new thoughts about SEO which I wanted to get down quickly while I was on that keywords page kind of in context so that's the notes and research as a

competitors section research section which I won't go into right now a couple of other things that I like um so when I build up a few actually

archived a few things which is why the menu is a bit cleaner but if I'm building up a lot of these campaigns I can also just create a new folder quickly could drag that up and I could

say you know active campaigns I probably want it utilize this one I could just drag these campaigns that are currently underway

into this folder and it just creates a little bit more um cleanliness in this setup so it's marketing and then I can see my active campaigns in there as well

we have the map which is where all the databases for the setup are stored and we have an archive where we can store things that are already completed so if

I were to head over to the tasks these would be all the tasks that have been completed and marked as done and that about does it I have this power

up section which I can use for um some kind of on-the-fly thinking and forecasting but basically those are the main sections as you can see there's not

I've got to the point now where I can be quite focused about the types of projects and tasks that I'm working on you can see it's a lot of just day-to-day what am I focused on which

projects are going to move things forward most and because I already know which marketing channels I'm focused on it's a lot of content it's a lot of SEO so when I'm doing the SEO keyword

research I just open up that page when I want to write some content I will click in and create a new content piece without a specific campaign that's also in the marketing stage then any

interactions any customer support feedback and stuff is going to go into the interaction section and for the performance side of things end of the month I might check in and do kind of

Revenue and expenses breakdown and any notes research and then I probably just keep in the notebook so there's probably more pages in this system than there you need to be but I like to have

it there just in case I need to add on any particular day specific area of the business oh in some ways that was probably shorter than I think it could have been uh maybe you

will disagree but I hope either way you found it useful that is kind of a bit of a summary of how I use notion to run the business and what we went through is

basically uh everything that I need to be working on Notions the only tool that I use for organizing and managing the whole business along with the website

itself which is kind of acts as the CMS for the business so hopefully again that gave you some ideas if you do want to use Landmark OS which is what we just went through which is what I use for my

business you can find a link in the description and if you have any feedback or comments or you want to share your own workspaces then please leave in the comments I'd love to see
